AI chatbot for clinics New patients get answers while reception is busy.

An AI chatbot for clinics answers the admin questions new patients ask before they book: fees, referrals, health fund rebates and opening hours. SmartChatAI learns them from your own website, answers in seconds, and collects the patient's details so reception can call back.

Your chatbot · 6:58am
You don't need a referral to see a physio. If you have extras cover, you can claim on the spot. Would you like reception to call you to find a time?

Why speed matters

Reception is busy with the patient in front of them

The phone rings and the web enquiries pile up while your team looks after the people in the waiting room. Many new patients look for a clinic outside business hours.

58%

What customers ask

The questions your clinic chatbot answers

It answers from your own website, files and notes. Add anything that isn't there in plain English, click Retrain Chatbot, and it's covered.

  • Do I need a referral?
  • Can I claim on my health fund?
  • When are you open?
  • What should I bring to my first appointment?

What you get

New patients get answers and you get their details

  • Admin questions answered

Fees, referrals, rebates and hours, answered from your own website at 7am or 9pm.

  • Details for reception

The leads form on your website collects name, email, phone and preferred contact method.

  • Fewer calls to return

Routine questions are answered in the chat, and every conversation is in your Inbox.

Turn on lead emails in Settings → Notifications, and each new lead is emailed to you straight away. Or send leads to HubSpot, Zapier, n8n or a webhook as they arrive. More on chatbot lead capture.

Tips for clinics

  1. Add your fees, bulk billing policy and cancellation policy as Q&A.
  2. Keep it to admin questions, and tell it to suggest an appointment for anything clinical.
  3. Turn on lead emails so reception sees overnight enquiries first thing.

Questions

Questions we get asked

Coming soon

Not live yet

  • Book appointments straight from the chat into Google or Outlook calendars
  • Hand a chat to reception (live chat)

We'll only call these live when they are. Until then, your chatbot takes the customer's details so you can follow up.

Will it give medical advice?

It answers from the content you give it, so keep it to admin questions: fees, referrals, rebates, hours and what to bring. Leave clinical questions to your practitioners, and tell the chatbot to suggest booking an appointment for those.

Can patients book an appointment in the chat?

Not yet. Booking straight from the chat is coming soon. Today it collects the patient's details so reception can call them to find a time.

Where are chats stored?

Your chatbot's content and conversations are stored on servers in the United States: Amazon Web Services, plus the AI and search services that power your chatbot. Health information needs extra care under Australian privacy law, so add a line to your chat's welcome message asking patients not to share health details, and mention your chatbot in your privacy policy.

Does it work with my practice management software?

Not directly. You can send leads to HubSpot, Zapier, n8n or a webhook as they arrive, and Zapier connects to many other apps.
